- Goals
-
The project's primary goal is to optimize and enhance the existing integration between the contract data and the rental portal through two main phases.
Phase 1 involves the revision and optimization of the current JSON integration structure to address data organization issues. This optimization ensures proper data structuring to prevent any analysis and data volume impacts, making room for future integration improvements.
Phase 2 focuses on upgrading the rental portal with additional functionalities. These improvements include automation of the monthly billing process, contract extension/finalization notifications, and better management of contract-related data like non-inventory products and asset replacements. It also aims to streamline communication between systems, improve client notifications, and ensure the integration handles additional services and contract updates smoothly.
This comprehensive approach ensures a robust and scalable platform for managing rentals and contract processes effectively.
- Project Results
-
After implementing the projects we had the following results:
- significant increase in customer satisfaction, with formal feedback of thanks for the ease of asset management (NPS).
- ability to manage environmental gains (ESG) through the reuse of returned equipment, which undergoes an assessment and is destined for other customers (saving manufacturing resources).
- reduction of internal effort in the order of 2,000 hours per month due to the automations implemented.
- increase in rental sales with the support of artificial intelligence (we do not yet have an estimate of how much it has grown.
The uniqueness of the project
The uniqueness of this project lies in its comprehensive approach to optimizing and enhancing the integration between contract management and the rental portal, tailored to the specific needs of Positivo. By focusing on the reorganization of the structure and adding new features to the portal, the project ensures seamless communication between systems, automating complex processes such as billing, contract management, and asset replacement.
What sets this project apart is its ability to handle both the technical and business requirements efficiently, automating processes like invoice generation, contract extensions, and equipment tracking. The integration with SAP and other non-inventory services adds further flexibility, allowing real-time updates and improved client interaction through customized email notifications. This solution not only addresses immediate business challenges but also sets a foundation for scalable growth and future enhancements.
- Used software
-
The project utilizes several software, equipment, and auxiliary systems to manage the contract integration and rental portal improvements.
Software:- SAP Integration: The project relies heavily on SAP for contract management and integration with the rental portal. This includes managing billing, contract extension, and termination processes.
- Custom Cockpit Z: A custom cockpit Z is used to automate tasks like asset replacement and contract management.
- LSMW: For loading and managing data, the Legacy System Migration Workbench (LSMW) is utilized.
Equipment: - Asset Management System: Equipment tracking and replacement are handled through an automated system that integrates with SAP for asset immobilization and replacement.
Auxiliary Systems: - Email Automation: Automated email systems are in place for client communication, such as notifications for contract billing and updates.
- Difficulty of implementation
-
The biggest difficulties encountered were of a technical nature, where we had to refactor the entire system to microservices technology, generate integrations with legacy systems using a high-performance data lake. Establish automatic tax rules for all internal transactions that were done manually.
- Project Description
-
The project aims to develop and enhance a rental portal that provides clients with secure, user-friendly access to their rental contracts and associated information. The portal's design caters to both internal and external clients, featuring essential security measures such as encrypted passwords and two-factor authentication (2FA) to protect sensitive data.
Key features of the project include:
1. Secure Client Access
The portal will allow clients to log in using either randomly generated passwords for external users or network credentials for internal users (employees). Security is a priority, with two-factor authentication implemented through token-based or reCAPTCHA validation. This ensures that unauthorized access is minimized.
2. Administrative Tools
Admins will have a dedicated menu for managing users and access rights. This includes features for:
- Adding and managing users (e.g., associating them with companies)
- Blocking user access
- Generating reports on user login history, detailing login times and durations.
3. Client Information and Contract Management
The portal provides a detailed view of all contracts a client has with Positivo, including:
- Contract numbers
- Equipment details (configurations and technical data)
- Serial numbers for leased equipment
- Monthly rental values and total contract amounts
- Contract duration and expiration dates.
Clients will also have access to a history of their service calls and equipment issues, including the problem reported, its diagnosis, and the resolution provided. Additionally, clients can request second copies of invoices and receipts through the portal, which will streamline their financial interactions with Positivo.
4. Economic Group Management
Clients associated with multiple CNPJ numbers (Brazilian legal entity identifiers) will be able to consolidate these under one user account. This allows them to manage contracts and access data for multiple branches or subsidiaries from a single interface. This feature is particularly useful for companies with complex structures, as it enables a consolidated view of all contracts and associated financials across different entities.
5. Reports and Analytics
The portal will offer various reports, such as:
- Installed equipment base (displayed graphically)
- Monthly service call statistics, broken down by CNPJ and region
- Evolution of the client's equipment fleet over time
- Equipment availability (number of service calls relative to the installed base).
These insights allow clients to monitor the performance and status of their leased equipment, ensuring they stay informed about any issues or trends that may arise.
6. Custom Uploads and Documentation
The portal will enable clients to upload various documents (e.g., PDFs and images) related to their contracts, adding flexibility for sharing additional information. It will also feature a configuration tool for registering device configurations and technical sheets, ensuring that equipment data is always up-to-date.
7. SAP Integration
Key contract and equipment data will be extracted from SAP systems and displayed in the portal, including:
- Contract numbers, products, and quantities
- Monthly and total contract values
- Invoice details (amounts, due dates, and payment status).
These daily updates ensure that the portal reflects the most current information, facilitating accurate contract management and financial tracking.
8. Additional Features
Other functionalities include:
- Direct access to Positivo's customer support for financial, leasing, and service inquiries
- A dedicated section for clients to manage their contracts and related data
- Reports on service call histories, contract statuses, and payments.
In summary, this project delivers a highly functional and secure rental portal that allows clients to efficiently manage their rental agreements, equipment, and financials. By integrating with SAP and providing a range of user-friendly tools and reports, the portal ensures smooth interactions between Positivo and its clients.
