Streamlined the entire lifecycle of agreements by centralizing documents, automating workflows, and improving accessibility. Enhanced efficiency by reducing administrative tasks and minimizing errors through automated alerts for renewals and expirations. The solution ensures compliance with legal and regulatory standards by maintaining audit trails and standardizing processes. Overall, this solution boosts operational control, mitigates risks, and supports scalable, consistent management of contracts and leases.

The Projects stands out specially in context of large restaurant chains like ours due to its ability to centralize, automate, and streamline the complex web of contracts and property leases spread across multiple and varied locations. Unlike generic lease management tools, SAP integrates seamlessly with core business modules such as Finance, Procurement, and Real Estate Management, ensuring real-time visibility into lease obligations, rent escalations, renewal dates, and compliance requirements. This unified approach reduces manual errors, prevents revenue leakage, and supports adherence to accounting standards like IFRS 16. For restaurant chains operating in numerous cities and formats, SAP’s scalability and advanced analytics enable precise cost control, performance tracking, and strategic decision-making across all outlets — ultimately improving operational efficiency and profitability.

Difficulty of implementation

The implementation of SAP Contract and Lease Management (CLM) was a transformative yet challenging journey that demonstrated exceptional teamwork, innovation, and perseverance. One of the key difficulties faced was standardizing and migrating vast volumes of lease and contract data from multiple legacy systems and formats across numerous restaurant locations. The team successfully overcame this by developing a robust data governance framework and automated validation checks to ensure accuracy and compliance.

Integrating CLM with SAP Finance and Procurement presented complex technical and functional challenges, which were resolved through close collaboration between IT, Finance, and Operations teams. Despite initial resistance to change, targeted user training, communication, and process redesign ensured smooth adoption and enhanced efficiency.

The Project focuses on efficiently managing real estate leases and contracts within an integrated SAP environment. The solution comprehensively handles complex real estate processes, including lease administration, contract lifecycle management, and accounting for both leasing and rented properties.

The system supports the capture and management of lease and contract data, including terms, conditions, payment schedules, and key dates. It enables tracking of important contract milestones such as renewals, expirations, and rent adjustments, with automated alerts to avoid missed deadlines.

The Solution integrates with financial modules for accurate lease accounting, ensuring compliance with IND AS116. It simplifies rent and contract billing processes by automating invoicing, payment monitoring, and reconciliation. Additionally, the solution offers robust reporting and analytics capabilities, helping organizations gain insights into lease portfolios, optimize costs, and enhance decision-making.

Project geography

The geographical scope of the project covered the organisation’s entire national footprint, covering restaurant outlets across High Street, Malls, Food Courts and varied formats across multiple states and cities in India. The implementation involved consolidating diverse lease and contract practices from metropolitan, urban, and semi-urban locations into a single standardised digital platform. This wide reach required close coordination with property, finance, and operations teams spread across regions, each with distinct regulatory, taxation, and documentation requirements.
